Question: I'm probably going to enforce a Clan XP based system, but most of my members (myself included) lost a lot of Clan XP due to leaving/rejoining and a past mass kick.

How would you handle such a situation?

As to basing rank on xp it would probably be helpful to use a spreadsheet and save it every so often as a new file. Like once a month, this way if someone leaves you will know how much xp they had before. I realize though that it may be too late for you to do that so you might just guestimate some starting xp?

As to members just leaving, that's a tough one. If someone leaves my clan they will lose any unspent rank points- those points get deleted therefore lost so any points acquired towards the next rank blow away with the wind. However, if they return then they will get back the rank that they left with, because I'll still have that archived.

Thanks for your reply. Yes it is too late, I'll probably just apply the system without any exceptions and from now on keep track of the star+ ranks.

No real strategies, except for keeping systems as simple as possible.

1.4.1.2) How do you confirm who has been to which event? And what classifies as attending? The whole event? Half of it? Showing up at the end?

I ask the event leader to post an attendance list in our Events thread. I assume the event leader isn't lying, because there's no reason they'd want to. Attendance isn't mandatory, though, and the only benefit of being listed as attending an event is being seen to be participating in clan life.

Attending is turning up during the event and doing some of whatever the event is for. For example, people are listed as Hunters in my penguin hunt report if they join in the search for at least one penguin. Someone who merely comes and spies a penguin after it's found is listed as doing that. Anyone who comes and spies more than one penguin they didn't help look for attracts my displeasure and potentially a formal black mark, because that's just freeloading.

2) How do you reduce the weight on your shoulders?

2.1.1) If so, what and how exactly do you share it?

As many people as possible are given responsibility for something. For example, anyone who suggests that the clan should run a certain type of event is likely to hear, "Good plan. You can run it. When do you want to start?"

It depends. Sometimes I ask someone who seems as if they'd be good at doing that thing whether they will do it. Sometimes I ask for volunteers. Sometimes they volunteer without being asked. And sometimes they just start doing a thing, and I retrospectively make them the official Doer of That Thing.

2.1.2.1) How do you trust them?

I trust everybody in my clan. If I thought they couldn't be trusted to do what's been delegated to them and nothing else (short of emergencies), I wouldn't keep them in the clan at all.

2.1.2.2) What if there's no one qualified for it?

Then it wouldn't get done or else I'd do it. But they're a talented lot. Someone will normally be qualified; being available is more likely to be the issue.

3) How do you manage your relations with the rest of the clan?
3.1) Do you use official Clan Forums or Offsite Forums?

3.1.1) If the first - how do you surpass its many limitations?

I don't, on the whole. It suffices for what we use it for.

3.1.1.1) How do you share certain information with only a X group of ranks
(E.G. Star Ranks+ only), so that not everyone sees everything?

Aside from the clan broadcast features, which (mostly) restrict notifications to only those whose roles are made easier by knowing that thing, I either don't worry about who else finds out (done by posting in the clan forum) or PM the relevant people.

3.1.2.1) How do you read everything and censor/handle every potential issue?

The clan forum never has more than about 20 threads in it. It's easy enough to track. Censoring (in the sense of using language or raising topics likely to offend other clan members) I expect people to take their own responsibility for. On the whole, I don't handle potential issues, only actual ones. And then a precedent has been established for next time.

N/A since we don't use offsite forums.

We have an unofficial Skype chat created by one of the 'ordinary' members, where I am myself just one of the participants. We have a Facebook page that's mostly dormant, which also has admins who aren't me. Our founder Archaeox has recently created an offsite clan information page, which he updates.

4) Other questions:
4.1) How do you handle the Administrator rank?
4.1.1) Who do you give it to?  (specially for Avatar purposes)

Avatar Wardens and anyone else whose role means they need the permissions. I choose Avatar Wardens based on their willingness and their availability.

4.1.2) How to trust temporary-Admins not to do any mischief within the CC

We've only ever had temporary Admins once, when we were switching from a Friends chat to the new Clan Chat. They didn't do anything they weren't expected to, and neither do my permanent Admins.

4.2) How do you handle a XP-based Ranking System?

We don't use XP for our ranking system. In fact, we don't really use a ranking system. Ours is more a role-based system.

4.3) How do you handle inactivity?
4.3.1) What is your definition of inactive?

When they aren't paying enough attention to the clan forum to realise there's a sweep on.

4.3.2) How do you run inactivity sweeps?

Post in the clan forum saying there's one on, and ask people to post in that thread in the next two weeks. A person who believes they might not be able to monitor the forum for more than two weeks at a time can declare themselves formally Absent by posting in a designated thread, so they're safe from any sweep that might happen.

4.3.3) What punishment do inactive players get? A kick? Temporary derank to Recruit?

It used to be a kick from both the CC and the FC. Now it's an immediate kick from the CC and a period of four weeks before being kicked from the FC as well.

4.4) Miscellaneous questions:
4.4.1) What do you use the Recruit rank for? Is it for inactive players? For new-comers? For muting purposes?

It used to be for probationary members. Recently we've changed it to be for those added solely to the FC.

4.4.1.1) Do you feel like you lose some ranking system diversity by forcing the Recruit rank to only be meant for these cases, as if it's not even an actual rank?

I would like more ranks, but I'd rather have further granularity in Admin powers than have more non-Admin ranks. No doubt I'd find specific roles for additional ranks if I had them though.

4.4.2) How do you handle Meetings / Clan Councils / Voting sessions? How to make sure everyone gets their say and vote, despite timezones?

We don't have meetings, and we don't have "majority wins" votes, because my role is that of a benevolent autocrat. I consult by posting in our clan forum or asking in our CC for people's views. And once I feel I've borrowed the thinking power of as many other people as possible, I make a decision.

4.4.3) If you use a points-based Ranking System, how can you know people won't lie in threads such as ''Post if you capped''?

We don't use one. In answer to the general question of how I know people won't lie, I don't, but I trust they won't. If I concluded that anyone had lied to me, about anything, I'd kick them out.

I as a leader and a female I have had backlash from males in the past
I run my clan as a family like environment . I find bigger clans don't really get to know each other . and to me forming bonds playing like a family make the environment
1) I Always make sure my deps don't carry all the weight as in the past
I was in a clan where I and other high ranks did all the work and the leader took credit
2) its Important for me to keep scammers, lurers out of clan ( I warn allies of a scammers/ lurers ) as in past allies have been scammed by same scammer as some of my members
3) I also make sure that when I rank clan members up I do when I know they are ready to fill a role its kinda unfair if a member is thrown into a position where they are not ready for .
4) when Guests visited sometimes they have caused issues . I have a 3 strike rule . including of misconduct and threatening peoples lives and starting fights I try to keep clan a good Environment. we come to play not to be threatened
5) we rarely have meetings we Don't really have need for them due to the fact we don't have much to talk about .
6) No rules ( while I say no rules ) for me there are rules of common sense
7) while its uncommon for people to be kicked however in past sadly I have had to due to
the mistreatment of members as such I once kicked a guy who straight after being recruited . tried lure ring the recruiter
8) My clan bases its rank on maturity , capping and recruiting and sometimes xp gains
9) I rarely have trust issues with my high ranking clannies a lot have proven them self's . its rare that I have ever had to deal with abuse of power
10) avatars : avatars must always be in citadel at tick time
11) we rarely use team speak if we do its when we boss we have a good bond with a ally we share a team speak and we all get along well
12) when It comes to new clan members I make sure we show them the citadel and give them a good welcome
