1.1) Simple rules and simple ranks. We have one rule: Everyone get along or we go to "trial". We have two types of ranks, council members and members working up to be council members rank by rank. Often times I see clans give their ranks (particularly their non admin ranks) flowery descriptions that mean nothing. It's just not necessary.

1.2) I keep track via Runeclan and Clan List Logger. That's all.

1.3) See above. But even then I don't use it too often.

1.4) Yes. I keep a capping thread and a recruit thread. Members gain 1 point per recruit and 1 point per week of capping. They lost three points if they don't cap. They come to the threads and tell me if they capped/recruited and I mark it down.

1.4.1) On the capping thread.

1.4.2) The idea of giving points for events sounds ludicrous to me because people have different schedules and this would alienate clan members. I'd say we do a fair bit of events, but honestly, they're usually spontaneous.

2.1) Yes.

2.1.1) Clan council. We all vote equally and we are inclusive. We never "run out of room".

2.1.2) We agreed on a ranking system that it based off of points and then a council vote based on activity.

2.1.2.1) I trust them fine, but nobody gets ranked above admin due to a terrible loophole the clan system has in this game.

2.1.2.2) I've never believed that to be the case.

3.1) Clan forums.

3.1.1) I havent' had an issue on limitations.

3.1.1.1) I don't like hiding anything from my clan members, except rank ups for generals to admin. That's done on Google Docs.

3.2) A little.

3.2.1) We use Google Docs for some private meetings. That's all. I don't expect people to set up Skype, Twitter, or Teamspeak for a Runescape clan. That's always sounded ridiculous to me.

3.2.2) It's set up so only admins can see the doc. We inform people when a meeting is coming up. The "meeting" lasts a week in which people can post in the doc for whatever we're discussing/voting on during their own time.
Runescape doesn't need a hero...it needs a villain. An all encompassing force of evil that will remain ever-threatening and use chaos to make the peoples of Gielinor tolerate each other, grow strong together, and fight side by side against this evil. I am that villain.

If the clan is decaying when you are not there you probably have to start asking the people you ranked to dep leader the question as to why?

I like to compare my clan to a department store. Allow me to explain.

There is me on the top of the chain or the "store manager" I make sure everything is going smoothly and when there is a aspect of the clan that is struggling i focus my attention on that. But my major focus is always the future of the clan.

My deputy owners are like the assistant managers. They take care of the "right now" aspect of the clan. They make sure the clan doesn't decline.

My overseers are the Area Supervisors of the clan. They all manage something different. For example, one oversees the citadel and its maintenance, another is in charge of the clan twitch that we all broadcast on, so on so fourth.

My coordinator is my department supervisor. They are the direct superior to my organizers and admins.

My admins make sure that the chat rules are being followed, my organizers are in charge of events and pvm education.

Included with the responsibilities above each staff member has one extra job, which is determined by what task force they are assigned to. They are as follows:

Website Recruitment: we have an offsite website we pay for through twitch its really cool! These staff members get our regular members to go and register here to get clan updates.

Member Recruitment: these people recruit new members to the clan.

Twitch Recruitment: these people get more broadcasters for our twitch

Contribution Enforcement: these people make sure every clan member is contributing to our clan in any of the approved forms.

A phone app that we found really useful was an app called "groupme" which is a group texting app that people can turn notifications on or off for. there is even a calendar function for it as well.

Our clan does really well, if you have any questions feel free to pm me in game, or join our teamspeak server.

1) How do you get organized?

Regular ranks are based upon xp gained since having joined, which the main rs site already has an xp tracking feature for.

Low tier admins are mostly just Avatar Wardens / active, trustworthy members who have volunteered to avsit when able.

Higher admin ranks are reserved for Domination's core administrators - people who handle recruit applications, citadel plot goals & locks, updating regular ranks, etc..

2) How do you reduce the weight on your shoulders?

My core admin team simply has a good initiative: If they see that an application is pending, they'll review it instead of waiting for someone else to. If they happen to not be busy on a particular weekend, they may go through the clan member pages and make sure all regular ranks are up2date. If they see someone in need of a kick from the cc, they'll simply issue the kick right then and save a full screenshot of what happened for records sake.

Updating ranks is the only real chore in maintaining the clan since it's easy to review applications when training an afk skill.

3) How do you manage your relations with the rest of the clan?

We mostly communicate with regular ranks over the official forums and in-game. We don't operate off of any off-site forums since potential recruits may view that as phishy - albeit, we do often direct others towards the rs wikia site.

The core admin team itself uses skype and private chat (we exclude regular clan members from our skype group for security reasons).

e. My clan caters to skillers who mostly use the chat to socialize / get useful info that helps them towards their goals. I recommend teamspeak for PvM clans.

@Andras

Communicating on "groupme" sounds great - calendar to keep you up to date with clan events, allows you to communicate with clan members, and, most importantly allows you to turn such notifications off.

However, do you ever find that using such a device causes security issues (like sharing inrl personal information?)

and now I only care for my clan on RS, nothing else about RS.. I feel as if I've put too much time in to let it die.

^I feel the same.

How do you get organized?

How do you fight bureaucracy?

-Having a simple ranking structure, making sure everyone knows the rules

What sort of apps/programs do you use to run the clan more efficiently?

-I use RuneClan to run my clan efficiently

What sort of clan-related statistics do you keep track of? And how?

-Membership and Activity and I use RuneClan for this

If you use a points-based system, how do you sustain it?

-N/A

How do you fill out all of the data?

-RuneClan has it displayed

How do you confirm who has been to which event? And what classifies as attending? The whole event? Half of it? Showing up at the end?

-I have the Host of the Event make a register and I ask them to fill in the template I have given them:

Host:
Co-Host:
Start Time:
End Time:

Attendance:

I classify attendance as taking part in the majority of the event so if you had to leave for 10 minutes I wouldn't hold that against you.

How do you reduce the weight on your shoulders?

Do you share it with others?

-Yes

What and how exactly do you share it?

-I have a Skilling events Co-coordinator, Bossing events Coordinator (these 2 don't mean they are the host, they ensure these types of events are happening and if any problems arise in those types of events they can rectify it, they are also the first point of call as they have a lot of experience and knowladge in that field so can explain what to do/bring and so forth), Citadel Coordinators and all admin+ ranks maintain the chat to ensure there is no conflict and try resolve it if there is or refer it to an overseer/deputy to handle if they cannot.

If so, how do you select those you want to share tasks with?

-To join the admin team you have to meet my standards and criteria:

Active
Friendly
Confident
Strong Organisational Skills
Strong Leadership Skills
Strong Communication skills
Etc

Once they are in the admin team they are not obliged to do anything more other than try have the clan avatar out as much as possible and maintain the CC, they have the opportunity and choice to be a events/citadel Coordinator if they so wish but it is not required.

How do you trust them?

-To begin with you need to be in the clan a fair while to be considered for the position in the first place

Secondly an Admin will recommend you and make their case stating the weaknesses and strengths and then the person is voted on by the admin team

What if there's no one qualified for it?

-If there is no one at the current time I'd rank up the people I trust to admin then mentor them so they meet my standards and rank them up accordingly.

If not, what else?

-Decide as a clan how you guys feel it is best to proceed and have a clan vote, most importantly make sure your clan has some sort of structure.

How do you manage your relations with the rest of the clan?

Do you use official Clan Forums or Offsite Forums?

-We do not

If the first - how do you surpass its many limitations?

-N/A

How do you share certain information with only a X group of ranks so that not everyone sees everything?

-There are 2 types of for the lack of a better work Status in the clan; Admin+ and Normal Clan Member, so there is only 2 different types of information. We have an Admin+ Skype group and FC which we use to discuss things within the admin team and then we have the Clan Chat and the Clan Skype Group to discuss stuff as a clan.

If the latter - how do you manage it, given its limitless features?

-N/A

How do you read everything and censor/handle every potential issue?

-I am in both Skype groups so I read everything which is there, additionally I have admins and as per their job they maintain the cc and Skype group so there are no issues.

How do you handle new registrations?

-We do not have an application form, any new member just needs to meet the recruitment criteria to join the clan.

How do you keep the Forums running?

-N/A

Do you use other platforms?

-Yes

If so, which and why?

-Skype, Twitter and Facebook I am contemplating getting us a TeamSpeak

If so, how do you keep them managed and running?

-The Admins maintain this and ensure it is all running smoothly.

Hope all this information helps.

Have deputy's you trust and see how they do performing most functions of the clan. If you cant be active enough, give your ownership up. It's for the better sake of the community in the long term, you just gotta make sure you replace the leader with a worth candidate. Someone who understand what you done, how you got there and knows where to move forward from there.

I had to do it during college. Worked out great. We have had a total of 5 different owners over 3-4 years. I just come back n do the same thing I always done and help grow community.

Thank you all for your answers, specially to those who spent their time answering all of my questions and/or typing out in-depth approaches!

As I said on the thread, I did try decentralization and passing on leadership. But here I am...

Based on your responses, I've added the following questions:

NWO Sharum said :
4)
Other questions:

4.1) How do you handle the Administrator rank?

4.1.1) Who do you give it to?
(specially for Avatar purposes)

4.1.2) How to trust temporary-Admins not to do any mischief within the CC
(kicking 2 clanmates with tons of XP, messing up the ranks, etc)

4.2) How do you handle a XP-based Ranking System?

4.2.1) How to get clanmembers to cap, attend events, etc if the only criteria is XP?

4.2.2) How do you reward your clanmates' activity, friendliness, effort, etc if the only criteria is XP?

4.2.3) How can you trust your ranks with powers
(seeing which guests join/leave, kicking guests, etc etc)
and TEMPORARY ADMIN if they only their rank based on XP?

4.3) How do you handle inactivity?

4.3.1) What is your definition of inactive?

4.3.2) How do you run inactivity sweeps?

4.3.3) What punishment do inactive players get? A kick? Temporary derank to Recruit?

4.4) Miscellaneous questions:

4.4.1) What do you use the Recruit rank for? Is it for inactive players? For new-comers? For muting purposes?

4.4.1.1) Do you feel like you lose some ranking system diversity by forcing the Recruit rank to only be meant for these cases, as if it's not even an actual rank?

4.4.2) How do you handle Meetings / Clan Councils / Voting sessions? How to make sure everyone gets their say and vote, despite timezones?

4.4.3) If you use a points-based Ranking System, how can you know people won't lie in threads such as ''Post if you capped''?
