One of the most effective and fun ways of developing a great community is hosting in-game events. I have planned and hosted many and usually end up with many people and lots of fun. Others, unfortunately, did not generate a big turnout. I always try to learn what makes an event successful and what I can do for the next events. I will try to post most things I've learned but I obviously don't know everything. That's why I encourage everyone with event experience to share their experience in the thread.

I would also like to make a note of the big difference between /r/2007scape and the fan sites that many of you here operate. Our subreddit depends on its users to create the content. This leaves us the basic responsibilities of:

-Keeping the page safe through moderation
-Promoting community through events
-Providing an in-game area for the same community to stay
-Furthering our place in the OSRS community as a whole

The specific goals of our community might vary, especially when compared to sites that exist for the sole purpose of providing guides/info to players. Even if your primary experience does not lie in events/community, I would still like to hear your ideas/opinions.

Choosing activities

Listening to your community

This applies most to the fan sites that have a large in-game community. For example, our "2007_Reddit" clan chat not only gives people a place to talk, but also lend suggestions for future events. The initial thought is that if the community wants it, the event will be successful. This is not always true.

It is very easy to mistake a small group of people asking for an event as majority support. I don't want to underplay the importance of community input, but I think it is important to make sure there is a large group of people interested in attending the suggested event.

”Fun” VS functional events

There are many choices when it comes to picking events to host. The obvious and simply options would be activities such as minigames. This requires the least amount of planning as it is all handled by the game itself. Especially on OSRS, minigames can be very rewarding, which is a big incentive for people to attend.

In my experience, fun events that don’t exactly have an incentive other than to have a good time attract the most people. For example, we have a tradition of taking on boss monsters such as the KBD and the Kalphite Queen in silly armor or costumes (KBD in bronze armor, KQ in chicken constumes). These events are very popular among the Old School players.

Fun events might not have the same success in RS3, however. I do not play RS3 anymore, but I remember it being more focused on the rewards you can get from performing certain tasks. This is why I am guessing functional events with a reward incentive would be more popular in RS3 (it is only my guess).

Organizing a time, location

This step is pretty simple. A location for the event should not be a big barrier. A time, however, needs to be chosen carefully. The biggest problem I’ve noticed would be the many different people in varying time zones. Unfortunately, people in Australia and around that area are usually the ones to be left out of the events. All we can do is try to include as many people as possible.

Publicity

Reddit
Since our community lies within Reddit, this would be the obvious place to start for us. We can sticky the post and have people discuss the upcoming event, which also gives us an idea of how much interest there is.
Even if your fan site has nothing to do with Reddit, I would encourage posting in /r/runescape or /r/2007scape. The key is to not phrase is like an advertisement. It would also be a good idea to contact the moderators before posting.

There is an enormous presence of Runescape players and J-mods on twitter. This is why it is a great to be there. When we are hosting any kinds of events, a tweet is sent out through our Twitter, @2007_reddit. We usually get retweeted by some of the OSRS J-mods or the @OldSchoolRS page.

Old School J-mods are fairly active on our page. This gives us nice support from them. A while ago, we created a creative competition in which people could use their talents to win some prizes. Mod Mat K offered a reward of 12 months of membership to the winner, which was definitely a great incentive for people to contribute. In the end, we chose a player who wrote and sang a song about OSRS, covering Sweet Home Alabama. It was very good considering he also played the guitar himself :P .

We also had them attend our events, which is also great fun as they appear as Jad. They make events much more fun.

Twitch streams
This is a new area we are exploring. Lately, we’ve been collaborating with a popular OSRS streamer to make events even more fun. Together, we hosted the chicken suit KQ and participated in a massive F2P war, which was streamed on the official Runescape Twitch channel.

There is much more that I have not mentioned. So many things come together to make a successful event. It is never black and white. I would encourage anyone to try something new. Think of ideas and pursue them to the best of your ability.

Looks great Zoid. As the Event Moderator with Reddit, I follow most of these when I am trying to create an event for the community. One thing I try to do is ask around in the clan chat and get a majority opinion on what events they would like hosted, using strawpolls for this also works really well. If people have any questions for me about coming up with different events please send me a PM in game and I would be more than happy to answer :)

Publicity is extremely important. No one can attend your event if no one knows about it. Recently the RuneScape Wiki has been lacking in publicity, and it has shown. One GWD event we had four attendees. However, when we have made an effort to publicize an event, like our recent Spring Wikifest, we had well over 800 people. It's amazing how many more people will attend if you go all-out on the publicizing. :P

Twitter/Facebook/other social media sites definitely help to inform more people, but I think the most important way to publicize is within your own fansite. It all starts from there. Also as Neyer said, polls are pretty helpful. To satisfy your entire fanbase, you can use a poll to determine how often to have a certain kind of event rather than to have it or not. This has worked well for us - everyone gets what they want eventually. (:

Time organization is a big issue, as you mentioned. When I was involved in clans, this was combated by holding the same event at multiple times throughout the day. It's not something we at the Wiki have tried before (or not many times rather), but it might be something that would work for another fansite. (:

Well written Zoid. I try to make some contribution as well to help to the growth of seccessful events.

event begins with planning

Event hoster should know what is the most suitable date/time for his fellow players when they are able to attend the event. Also it must be clear
where
will the event take place, whats should players
bring with them
and what activities will they do. Event organizer should take care all memebrs of community will know about the planned event. Social media (twitter, facebook, etc.) and community forums are really helpful. Exclusion are short preparation events when you just gather some online players from fl/fc/cc.
His duty is also to "sell" the event. He must persuade other players why should they attend his event. As you mentioned above, each player loves rewards and benefits from activites.
On RS3 favoutire activites for groups are high level monsterhunting (e.g. Kalpithe King - large group allow also not so experienced players to encounter and kill high level bosses and make good profit). There are also some minigames such as Barbarian Assualt, Heist which are played especially for great amount of bonus exp and thats why they are beloved so much. You need a team for this activites, can not be played solo. You can do the activities with „randomers“ on activity-oriented worlds or more preferably play with friends you know from community.
RSGP and great exp rewards, these are the main ingredients which might sell the event and attract players to attend, especially on RS3.

Tip: If you dont know suitable event time, start with your friends. Ask 2-3 friends if they will attend your event. Its good way to build up the event memberbase. If they wont then it is not good time for event else think about some other event because its some boring activity where not even friends will support you.
