Here you will find all of the information that you will need to start organizing community events of your own. You may also find some useful tips from weathered and veteran event organizers on how to set up events, get a good turnout and make your event a success!

Before we begin, RuneScape has an in-game clock that gives the official Game Time. This is a reference point for everyone, and will allow you to set your event at a specific time in the game, thus avoiding all the confusing time zone conversion shenanigans.

It is also worth noting that if you see a little icon above the clock, hovering over it will show information about the next P-Mod event or J-Mod activity.

GUIDE TO HOSTING EVENTS INTRODUCTION


If you're thinking about hosting an event then there are a few stages you'll need to plan for:

Choosing an event
Choosing the date and time of the event
Advertising an event

Before you begin choosing an event, it is worth noting that a successful event will require some level of planning. You may not necessarily need to do a lot of planning for an event, however you should make sure that you have everything set in place before you go ahead with creating an event.

It may be worth asking a friend to help you with planning an event. Many events hosted by the Pink Skirts utilise more than one event host so that the responsibility can be shared, both before the event and during the event. If you think it will help, ask a friend to help host with you before you begin choosing an event.

CHOOSING AN EVENT


There are a whole range of different activities in-game to choose from that you can host an event with. The Pink Skirts thread contains a list of a bunch of activities that are worth considering when choosing an event to plan:

PvM Boss Masses
Minigames
Distractions & Diversions
Skilling events
Social events

When choosing an event there are also some basic questions to answer:

• Is the activity that you have in mind popular?
• Is it dangerous? Are people likely to lose their items?
• Is it a worthwhile activity for players?

Players will generally only want to attend an event if it'll be worth their time. Think: would you attend the event you're planning to host if you were a potential attendee?

It's important that the event you're looking to host will be of interest to players.

CHOOSING THE DATE AND TIME FOR AN EVENT


Now that you have an event in mind, it's time to choose the date & time. There are a few things to consider:

How far in advance should my event be planned?

If you plan on hosting an event tomorrow you probably won't get the audience you're hoping for. At first, it's a good idea to plan your events at least one or two weeks in advance so that there is more time to spread the word. If your event requires a lot of preparation or you want an extraordinarily large crowd, you may want to plan further in advance.

What is already planned during your chosen date/week?

Be sure to have a look at the calendar in-game and the latest newsposts. When are other upcoming events planned for? Is there a Double XP Live on that date? Is there a temporary in-game event happening? These are important questions to answer before you choose a date and time for your event.

How many people will be online during the chosen timeframe?

The number of players on RuneScape each day fluctuates throughout the day. The time of day that generally sees the most players online is around late evening for Europe / late afternoon/early evening for Americans. Much later than that in the day and the number of players will begin to drop off.

What time is it? My time is different than yours!

The RuneScape in-game clock will tell you the time in UTC. You can find out how the clock works by visiting:

ADVERTISING AN EVENT


When hosting an event you'll want other players to come along and join you! Getting good attendance at an event can be tricky, though. To make sure that your event is well-attended you will need to first look into avenues on how to advertise it.

Nowadays there are a whole range of platforms you can use to advertise your event. These include:

• The RuneScape forums
• Social media platforms & Discord
• Your clan & your friends
• Contacting Jagex for additional support

The RuneScape Forums

The RuneScape forums offer an events forum specifically for you to advertise an event you're hosting. Depending on which version of RuneScape you're looking to host your event on, these are:

Events and Competitions (RS3)
Old School Events (OSRS)

When writing up an event thread you will want to include the activity, date, time, location, and world at the very least. Be sure to put the name of the activity in your thread title, and if possible a date. That'll let others know what activity you're planning and when, and then they can choose to visit the thread for more details if they're interested.

You'll want your thread to be visually appealing to keep the potential attendees drawn in. Be sure to make good use of various forum guides such as the ›.,¸¸, Forum Fashion ,¸¸,.‹ thread. Such threads have great tips on how to make an aesthetically-pleasing thread that stands out.

Social Media Platforms & Discord

In today's day and age it's important to make use of platforms outside of the forums and in-game, as many players are now spending a lot of their time on social media platforms. Examples of ideal platforms include:

• Twitter
• Reddit
• Facebook Groups
• Discord

Twitter

As you're limited to 280 characters you'll need to make the most of it. A good template for a tweet to put out is as follows:



Make sure to include the important details, including who the hosts are in case people want some more information! Images will especially help your tweet to stand out. You can also use emojis to brighten up your tweet, but don't use too many. And be sure to tag @RuneScape for extra visibility. Jagex may even retweet your event!

Reddit

Reddit sees a lot of daily users from the RuneScape community. Advertising via Reddit will allow you to reach a broad audience of RuneScapers. The character limit on Reddit is very high so you won't need to worry about hitting it.

If using Reddit be sure to follow the appropriate subreddit's rules. If in doubt, get in touch with the moderators of the subreddit you're looking to advertise your event on about advertising your event.

Facebook Groups

Similarly to Reddit, Facebook groups tend to have a broad audience of 'Scapers. If you choose to advertise your events here, be sure to contact the admins of the group to make sure that it's okay!

Discord Servers

If you're part of any Discord servers they are one of the best places to advertise your event. As with the above, be sure to speak with the moderators of the servers to make sure that they are okay with it.

You may in fact find that servers may be willing to advertise for you if you go to a server that specialises in that activity.

Your Clan & Your Friends

Advertising to your clan and your friends is the best way to reliably get attendees to your event. The attendees will, especially in the case of a clan, likely know each other anyway, which will help the event go more smoothly.

Many clans now have their own Discord server - if you're in a clan then it's possible that your clan may have one too! Speak to your clan owner about advertising your event in the Discord server if they have one. They may be able to tag users to get their attention to see if they're interested in attending.


Contacting Jagex for additional support

Jagex may be able to offer additional support with helping you to advertise your event. While there's no guarantee, they may be able to help you out by:
• Sharing the event details on social media
• Advertising your forum thread
• Speaking to community leaders to see if they can help you out

It's always worth getting in touch with Jagex to see if there's anything that they can do. While they wouldn't go straight to advertising on a newspost for you, the more rapport you build with the Community Management team the more likely they'll be able to further assist you.

I want my conga line event to be HUGE! When can I hold my event so that a lot of people will come?

Unfortunately, there's no clear answer to this one! Depending on the time of the year and other players' real life schedules, attendance can vary greatly. Generally speaking, however, weekends are an ideal time to hold an event. You may consider creating a poll on your event's thread to determine which dates and times work best.

Does it really matter what world my event is held on?

It could! First of all, you will want to consider whether your event will be open to all players or just members. If you are hosting an event that corresponds with a themed world (such as Stealing Creation), think about whether you want to hold your event on that themed world or on another world.

Nobody came to my first event. Should I just give up?

Not at all! Think about what you can do to improve the next event's turnout. Maybe you should consider planning it at a more convenient time or give another activity a try. Never give up!

Where can I organize a group for dungeoneering?

If you would like to find dungeoneering partners, try using the Teamwork forum.

WHAT IS THE TIME?


As mentioned earlier in the thread, the best time zone to use when advertising your event is UTC, as there is a clock in-game that shows UTC (referred to on RuneScape as GameTime).

For help converting your time to UTC, the best resource to use is the timeanddate website. Their interactive map will allow you to locate yourself and compare your time to to UTC:

A couple of things to note:

• Make sure to note when the time zone in your own country may change to reflect the start or end of Daylight Savings. This usually happens around March/April and September/October/November time. Not all countries follow Daylight Savings, though.

• Some countries and areas have their time zone vary by 30/45 minutes compared to that of neighbouring areas. Be sure to check whether you're in one of these countries! If you are, the map mentioned above will show these with a striped pattern on your area.
