Welcome to the first meeting minutes thread! As you will see later on it has been decided that these meetings will be held bi-monthly with a new thread each week to discuss the various topics further should anything come to light, as well as planning for the next meeting to make sure each Fansite is prepared!

To make things interesting, well... colourful, each meeting will have a colour... this week....coral!

Fansite Introductions

Czecho-Slovak Forces:
Surprisingly good activity for the OSRS community, with a lot of specialist guides and events being done for these guys. Currently focussing on development and events and still growing!

CrusadersScape / ScapeCentral:
Really working towards getting our name change finalised and formal, so it isn't just a coming soon page. Hoping that this will help the Fansite grow and become the next level. Focussing on development of the site and community interaction with new events on the horizon constantly. Have both a OSRS and RS3 community but the large majority is RS3.

RSPortugal:
Provides a Fansite for the Portuguese and Brazilian community. Started developing resources in 2004 but continuously developing the site more and hosting events through time. They have both an OSRS and RS3 community.

RS Unofficial Wiki:
Don't we all know these guys? Spineweilder is the administrator for OSRS. ....

~ Future of the Meetings ~


Date and Time

Due to the relatively low attendance, it was discussed that possible the time isn't appropriate if we want to get the maximum amount of people attending as possible. It was suggested, with substantial support, that there may be a possibility of alternating the date and time. Whilst this might not mean more attendance, it will mean everyone will get a chance to attend at some point and therefore not excluding anyone from the opportunity. It was discussed that it may either swap from being a weekday one time then a weekend the next, or holding two meeting every other month, at two different times with the same agenda. You wouldn't need to go to both, only one or the other, unless you are myself or Matonym! It was suggested that it shouldn't be based on JMod attendance, but the majority of Fansite staff who can come, we only need JMod attendance occasionally, not every time.

Length of Meetings

The meetings lacking JMod presence will obviously be shorter as questions cannot be answered leaving many topics half-finished, however the average one is planned to be about 30 minutes give or take 10 mins. More comments?

Frequency

It was absolutely unanimous that all the staff attending wished for the meeting to be bi-monthly. The only thing is whether one weekend and one weekday and therefore two every two months, or just the one, but it will be bi-monthly unless posts here say otherwise.

JMod Presence

Maybe one of the meetings in the two months could be planned to suit JMod attendance. It is necessary to have them there sometimes to answer the much needed questions and increase interaction. We need it just occasionally to be able to move forward, even if this is not every time. Possibly have one committed presence every 6 months? ....

Skype Calls in the Past

As you all know, our meetings are currently held in Teamspeak. The reason for this is due to it requiring no personal information and generally a more secure connection. However, it has come up that the Skype calls in the past were successful so it was raised and Ryan M told us a little bit about how they worked. They had JMod attendance and always had a lot of Fansite staff attending too, maybe we could look into why this is. Should we consider Skype? Can we make the TS meetings better?



Unsupported Friends Chat In-Game

This was a suggestion raised by Heal Deal, so thanks to him first. This idea has actually already been put in place now and is underway due to a unanimous decision that this would be beneficial. The idea was to create a non-supported fansite staff chat in game where we could chat together easily without needing to leave clans, meet up formerly, or use TS all the time. It was decided that this would ave restricted access and therefore all fansites need to post a list of all staff on the appropriate thread (once posted by Heal Deal) so that they can be added to the account. The friends chat name is: Fansite CC ....

What each Fansite is Up To (#nospoilers)

ScapeCentral:
As of next Tuesday we will be starting our Weekly Minigame Event whereby each week a new minigame will be played so hopefully we cover at least one that everyone likes We are looking to potentially turn this into a tournament in the future. We have a lot of one-ff events like our recent Fight Pits event but lots more ins tore, but ya know.....#topsecret

Czecho-Slovak Forces:
Monday is always a skilling event, with Wednesday being the citadel capping event followed by Penguin Hunting on the Thursday. There is usually an event on Saturday too - extra busy! There is a plan for a new map event, whereby a small limited image is taken of a location, players then travel to this location and take a screenshot and post this on the forums. This acts as their entry ticket into the competition and two lucky winners in each of the five rounds win a bond each!

RSPortugal:
Events are quite often focussing both on skilling and IRL. They mentioned the event they recently had of the "cutest pet" where members sne tin pictures of their pets the cutest winning prizes for their owner! Another example of an IRL competition that they mentioned they had done in the past was an IRL cooking competition which was awesome. This was only based on looks but seems great fun to bake and send a pic in.



Future Discussion of Events

It was unanimous demand that everyone clearly wanted to discuss future joint/inter-crossed Fansite events, maybe large competitions or just a fun event. Please post suggestions and thoughts on this. ....

Fansite Staff Forum Access

Currently the thread whereby people post to request access to this forum is locked. A lot of Fansites, especially growing ones and new ones, have recruited more staff since this was locked and are missing out on being able to contribute to this forum, a place that had been lacking in serious activity. We now ask
Mod Infinity
if it is possible that this is unlocked. It will also allow the newer Fansites to get access and maybe take tips of the more experienced, Fansites but more on this is discussed later in DieHunted's idea. Also Reddit recently got access - woohoo!



JMod Interaction

It was discussed that people felt that the Jagex team were becoming more closed, seeing requests for any information or content as pestering, often igoring this etc. Whilst the work you do on this forum as well as the speedy email replies is fantastic, it would be great to see you guys being more open, releasing more content to us and really allowing us to make our site interesting for players. We were wondering about the potential for a better drop box, communication and whether there can be increased interaction on either TS or Skype, hoping that the friends chat might be able to help out with this as well as the new Fansite access issue too. ....

This post was really for... well all the odd bits and ideas that just didn't seem to fit anywhere else. They are still important and cool, just..... miscellaneous!

Helping New Fansites - DieHunted

It was discussed and the majority (not unanimous) agreed that it would be better if this forum was more open and allowed newer Fansites to join. DieHunted suggested that perhaps staff from all of the Fansites on this forum could work together to compromise a guide of some sort for the newer Fansites. It might contain some top tips, or growth strategies, community ideas etc. The idea is still a work in progress but what do you guys think of this?

Things Brought up that People Would Like to Discuss in the Future

It was brought up by Matonym that each Fansite should be given a 15 minute slot in future meetings to say what has been going on, aims, achievements and plans etc.

Another thing brought up by Matonym is possibly dedicating a meeting to a particular area such as community or development, but perhaps this would limit the potential of the meeting. Maybe we should keep it broad and go into specific detail on this forum? Or maybe it is a good idea! There was mixed feelings about this.

Strong support for discussing cross-fansite and joint events in more depth, same can be said for resources, and the sharing of them. ....
